Duty Tracking System (DTS), including Police DTS, Fire DTS, and Workforce DTS, is a product of SYSTEMWORKS, LLC. This Privacy Policy describes how we collect, use, and protect information when you visit our public websites, request a demonstration, or use the DTS platform hosted for a participating agency.
1. Who this policy covers
This policy applies to:
- Visitors to DutyTrackingSystem.com, DetailTrackingSystem.com, and related public DTS pages.
- People who submit a demonstration or contact request.
- Agency personnel who use DTS under their department’s account (police, fire, or workforce).
Each participating agency remains responsible for the operational records it enters into DTS (schedules, assignments, payroll-related data, vendor information, and similar agency records) and for its own internal policies on employee and vendor data.
2. Information we collect
Depending on how you interact with DTS, we may collect:
- Public-site and demo requests: name, agency, agency type, title or rank, email, phone, city and state, approximate employee count, and the message you send us.
- Department login search: the search text you type so we can return matching agency login links.
- Account and service data: credentials and profile details your agency maintains; assignment, leave, overtime, bidding, slip, billing, and related records your agency stores in DTS; and technical logs needed to operate and secure the service (for example, sign-in time, browser type, and IP address).
- Mobile apps: information needed to deliver push notifications and app features when your agency enables them.
- Cookies and similar technology: essential cookies for sign-in, security, and site operation. We do not use the public marketing site to sell advertising profiles.
- Public-site visit logs: page viewed, referring site or search campaign tags, approximate location (country, region, or timezone when the network provides it), browser, device, language, and IP address. These records are used for website statistics only.
3. How we use information
We use information to:
- Operate, maintain, and secure DTS for the agency that owns the account.
- Route demonstration requests to a Department Field Specialist and respond to inquiries.
- Provide support through each agency’s vetted DTS contact, following that agency’s chain of command.
- Send service messages your agency has configured (email, SMS, voice, or mobile push).
- Understand how the public website is used (pages, referrers, and device type) so we can improve it.
- Meet legal, accounting, and security obligations.
4. We do not sell or release your data
SYSTEMWORKS, LLC does not sell personal information or agency operational data. We do not release DTS data to marketers, data brokers, or the public.
We share data with a third party only when:
- a signed data-release agreement is in effect for API usage (for example, an approved CAD, RMS, or other integration your agency has authorized), or
- we are ordered to do so by a court of law.
Hosting, email, SMS, and similar infrastructure vendors who process data solely to run DTS on our behalf are bound to use that data only to provide those services. They are not a sale of data.
5. Agency-controlled records
Assignment, payroll, leave, vendor, and similar records in a tenant database belong to that agency. SYSTEMWORKS hosts and supports the system. We do not use those records for advertising, and we do not provide them to outside parties except as described in section 4.
6. Security
DTS is a multi-tenant cloud application. We use industry-standard safeguards, including encrypted sessions, tenant-scoped data access, optional two-factor authentication, and role-based permissions configured by the agency. No method of transmission or storage is completely secure; we work to protect information and to limit access to authorized personnel.
7. Retention
Demo-request information is kept as long as needed to respond to the request and for ordinary business records. Agency operational data is retained according to that agency’s instructions and applicable records rules. When an agency ends service, we handle remaining data as agreed with the agency and as required by law.
8. Children
DTS is built for public-safety and municipal agencies and is not directed to children under 13. We do not knowingly collect personal information from children.
9. Your choices
Agency users should update profile and notification settings in DTS or ask their supervisor or department DTS contact. Visitors who submitted a demo request may contact us to correct or update the information they provided.
10. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the public site or DTS after an update means you should review the revised policy.

For security purposes, DTS Support provides assistance only through each agency’s authorized DTS contact. DTS does not manage individual user access, including the creation or reset of usernames and passwords. User account administration is handled at the department level. Please follow your agency’s chain of command and contact your supervisor or designated DTS administrator for assistance.
